What you'll own

Monthly bank reconciliation — reconciling accounts across UK and EU entities, flagging discrepancies, liaising with our accountants where needed
Invoicing — raising, sending, and tracking client invoices; following up on overdue payments; maintaining clean records in Zoho Books
Regulatory compliance — monitoring and managing filing deadlines for HMRC (VAT, PAYE), Companies House (confirmation statements, director changes), and equivalent Dutch obligations; ensuring nothing slips
Meeting & task management — scheduling, preparing agendas, taking notes, tracking action items and following up with stakeholders to ensure delivery
Business continuity planning — helping document processes, maintain operational runbooks, and identify gaps that could create risk if key personnel are unavailable
General business administration — contract register maintenance, document management, supplier correspondence, and ad hoc operational support
What we're looking for

Proven experience as a VA or EA supporting a founder, MD, or senior executive in a small business or startup environment
Solid understanding of UK company administration — HMRC, Companies House, VAT — and ideally some exposure to EU (Dutch/Netherlands) requirements
Comfortable with financial admin: reconciliation, invoicing, bookkeeping basics; experience with Zoho Books is a strong plus
