Currently, these forms do not automatically create leads in our Odoo CRM system.

We already have an Odoo webhook (POST /api/create_lead) that accepts JSON submissions and creates CRM leads. However, the integration is incomplete, and the endpoint requires improvements to security, validation, reliability, and data mapping.

Our objective is to ensure every applicable customer inquiry submitted through our website automatically creates an accurate, properly categorized lead in Odoo CRM without manual intervention.

We want a reliable, secure, maintainable solution that works with our existing Magento 2 and Hyvä infrastructure.

We are requesting a detailed development quotation for the complete scope below.

All applicable inquiry forms should use a consistent customer data structure.

The developer will be responsible for:

Reviewing the existing Magento forms and their implementation.

Building a centralized, reusable submission handler for Odoo integration.

Connecting each form to the existing Odoo webhook.

Ensuring that every form sends the correct standardized JSON payload.

Assigning a Type value that identifies the inquiry category.

Automatically retrieving manufacturer, model, and SKU on product page quote requests.

Supporting customer uploads, including equipment photos and documents.

Base64-encoding uploaded files into the API's Files array.

Implementing appropriate per-file and per-submission size limits.

Maintaining reCAPTCHA protection.

Preserving existing form design and mobile compatibility.

Implementing proper customer confirmation and submission error handling.

Ensuring API credentials are never exposed in frontend code.

5. Odoo 18 API & CRM Development

The existing Odoo endpoint must be reviewed, updated, and prepared for secure production use.

API Security

Required improvements:

Implement request rate limiting.

Enforce maximum request body sizes.

Protect sensitive customer information.

Add structured error handling.

Provide meaningful HTTP response codes.

Document the API request and response formats.

Field Validation

The API must validate incoming data based on the inquiry type.

Examples include:

Rental Start Date as a valid date.

Rental Length as a valid numeric value with an agreed unit.

The developer must define and implement consistent validation rules and return useful error messages when submissions fail.

CRM Lead Creation & Field Mapping

The integration must:

Automatically create CRM leads from valid submissions.

Map inquiry data to the correct Odoo CRM fields.

Identify the inquiry category through the Type value.

Create necessary custom Odoo fields for rental, repair, calibration, and equipment information.

Match existing customer contacts using email addresses to reduce duplicate partner records.

Associate new inquiries with existing contacts when appropriate.

Resolve country and state strings to valid Odoo records.

Attach uploaded files to their corresponding CRM leads.

Automatically route leads to the appropriate sales team based on inquiry type.

Duplicate Prevention

Implement idempotency so that:

Double-clicking Submit does not generate duplicate leads.

Retried API submissions do not create duplicate records.

Temporary connection failures do not result in unnecessary duplicates.

Separate legitimate customer inquiries must still be captured, even when they come from the same customer.

6. Submission Reliability & Automation

This integration must be reliable enough for daily business operations.

We cannot afford to lose customer inquiries because Odoo is temporarily unavailable.

Required functionality:

Queue submissions when the Odoo API is unreachable.

Automatically retry failed submissions.

Maintain the same submission identifier during retries.

Prevent duplicate processing.

Log successful and failed delivery attempts.

Alert administrators when submissions repeatedly fail or the queue grows unexpectedly.

Monitor for abnormal drops in incoming lead volume.

Securely store queued customer information and attachments.

Customers should receive a clean confirmation after their inquiry has been successfully delivered or safely accepted into a durable queue.

We want to minimize manual monitoring and ensure no legitimate customer inquiry is silently lost.

7. Testing & Deployment

All development must be tested before production deployment.
