We are looking for an experienced WordPress developer to completely redesign and rebuild our Dutch classic wedding car rental website:
Trouwauto Drenthe We currently rent out one Ford Mustang Cabriolet for weddings and special occasions. We want a completely new, modern and premium-looking website combined with a reliable booking and administration system. The website itself will be relatively compact (preferably a one-page design), but the booking system and automation behind it are very important. We currently have one rental car, but the complete system must be built in a way that allows us to easily add more cars in the future. The final website, booking process, contracts and customer emails will be in Dutch. 1. Website We want a completely new design for the current website. Requirements: - WordPress - Elementor - Modern, premium and trustworthy design - Mobile optimized - Fast loading - One-page layout where practical - Easy for us to edit ourselves - New logo matching the new website - Google Reviews section - Contact information / contact form - Clear call-to-action to check availability and book a car - Privacy policy and rental terms accessible from the website We will provide the existing photos and content. We are open to suggestions regarding the design and layout. 2. Multiple rental cars At the moment we only have one rental car, but the system must support multiple cars. We must be able to add a new car ourselves from the WordPress administration. For each car we want to manage information such as: - Car name - License plate - Description - Photos - Full-day rental price - 4-hour rental price - Deposit amount - Advance payment amount - Special date pricing - Availability calendar - Details required for the rental agreement Each car must have its own availability. 3. Booking system Customers must be able to select: - Car - Rental date - Rental type - Pickup and return time - Optional requests - Customer/contact information The system must automatically check availability before a booking can be completed. A unique reservation number should be generated for every booking, for example: TD-2027-0012 4. Rental options Full-day rental - Current standard price: €600 - The complete calendar day is reserved for that car. - Pickup and return times can be selected between: 08:00 – 22:00 - The selected times must appear on the rental agreement. 4-hour rental - Current price: €300 - The customer selects a four-hour period, for example: 14:00 – 18:00 p.m. - The complete rental period must fall between 08:00 a.m. and 22:00 p.m. - Important: We only allow one 4-hour rental per car per calendar day, because we need time for cleaning and preparation. Once a 4-hour booking has been confirmed, the car must therefore be unavailable for any other booking that calendar day. 5. Pickup one day earlier / return one day later For full-day rentals only, customers can request: Pickup one day before the rental date: +€50 and/or Return one day after the rental date: +€50 If both are possible, the total surcharge is €100. These are requests, not automatically confirmed options. The booking form should clearly say something similar to: “I'm interested in picking up the car one day earlier (+€50 if available).” and: “I'm interested in returning the car one day later (+€50 if available).” In the administration dashboard we must see these requests. We can then manually: - Approve - Reject each request separately. If approved: - €50 must be added to the outstanding balance per approved option - Customer receives confirmation by email - Booking details are updated - Rental agreement is updated - Relevant availability should be blocked so another conflicting booking cannot be accepted These options must NOT be available for a 4-hour rental. 6. Special pricing We need to easily set different prices for specific dates or date ranges. Example: Normal full-day rental: €600 Special date: €700 The booking system must automatically use the correct price. Special pricing should preferably be configurable per car because we may have several cars in the future. We should be able to manage this ourselves without editing code. 7. Advance payment during booking The customer must make an advance payment when completing the booking. Current amounts: Full day: €250 4 hours: €100 A booking should only become confirmed after successful payment of the required advance. The system should automatically register the payment status. 8. Remaining payment + €500 security deposit Three weeks (21 days) before the rental date, the system must automatically send the customer a payment request. This payment request consists of: - Remaining rental amount - Approved additional options -€500 security deposit Example: Rental price: €600 Advance already paid: €250 Security deposit: €500 Amount still payable: €850 If an additional +€50 option has been approved, this should automatically be included. The payment must be completed no later than 14 days before the rental date. 9. Payment methods We want customers to be able to pay online using a suitable Dutch payment method, preferably: - iDEAL / Wero - Possibly other standard payment methods Bank transfer should also remain possible. We are open to the developer's recommendation regarding the payment provider. IMPORTANT: Please explain in your proposal: - Which payment provider you recommend - Which WordPress/plugin solution you recommend - Whether automatic payment links/reminders are supported - Transaction fees - Any monthly or annual costs We want to avoid unnecessary recurring subscription costs. 10. Automatic payment reminder At 14 days before the rental date, the system should check whether the remaining rental amount + security deposit has been paid. If not: - Automatically send a payment reminder to the customer - Show an alert/status in our administration dashboard We must also be able to manually resend the payment request. 11. Rental agreement A rental agreement must automatically be generated for every booking. Customer information and booking information should automatically be inserted into the agreement. Examples: - Customer name - Address - Postal code - City - Phone number - Reservation number - Car -License plate - Rental date - Rental type - Pickup time - Return time - Rental price - Approved additional options - Advance payment - Remaining amount - Security deposit The rental agreement should preferably be generated as a PDF. After the booking has been successfully completed, the customer should automatically receive a copy by email. We should also receive/store the agreement in the administration system. 12. Digital acceptance of rental agreement and terms Before completing the booking, the customer must be able to: - View the rental agreement - View the rental terms - Actively check a checkbox confirming acceptance For example: “I have read and agree to the rental agreement and rental terms.” The system must record: - Acceptance - Date - Time - Related reservation This information should remain stored with the booking. IMPORTANT: If the rental agreement template is changed later, existing bookings must retain the version of the agreement that was accepted at the time of booking. We do not want an old booking to suddenly display a newly edited contract. 13. Driver requirements & physical ID check Drivers must be at least 18 years old and have a valid driving licence. We deliberately do NOT want customers to upload copies of their passport, identity card or driving licence during the online booking process. Identity and driving licence checks will be performed physically when the car is collected. If another person will also drive the vehicle, this person can be registered and checked when collecting the vehicle. In the internal administration system we would like simple fields/checks such as: - Identity checked - Valid driving licence checked - Driver age 18+ checked - Additional driver(s) checked - Checked by - Date/time checked No unnecessary copies of identity documents should be stored. 14. Administration dashboard A good and easy-to-use administration dashboard is very important. For every booking we want to see: - Reservation number - Customer - Address - Phone number - Rental date - Car - Rental type - Pickup time - Return time - Rental amount - Extra options - Advance payment - Remaining payment - Security deposit - Payment status - Rental agreement PDF - Agreement acceptance date/time - Emails/payment reminders sent - Internal notes - Identity/licence check status - Mileage at pickup - Mileage at return Suggested booking statuses: New → Advance Paid → Remaining Payment Sent → Fully Paid → Rental Completed → Deposit Refunded The exact workflow can be discussed with the developer. 15. Manual bookings We also receive bookings by telephone or email. We therefore need the ability to manually create a booking from the WordPress administration. The manually created booking should use the same system and calendar as online bookings. We should be able to: - Select customer - Select car - Select date - Select rental type - Enter times - Add price - Register payments - Generate rental agreement - Send emails/payment requests 16. Manually block dates We need to manually make a car unavailable. For example: - Maintenance - Repair - Private use - Other reason Blocking one car should not affect the availability of other cars. 17. Security deposit refund After the rental, we will manually refund the €500 security deposit. The system should allow us to mark the deposit as: Refunded When we do this, the customer should automatically receive an email confirming that the security deposit has been refunded. The booking status can then automatically change accordingly. 18. Automatic review email Three weeks after the rental date, the customer should automatically receive an email. The email should: - Thank the customer for renting the car - Ask for a Google Review - Include a direct Google Review link - Ask whether the customer has a nice photo from the wedding/event that Trouwauto Drenthe may use on its website and/or social media Any photo submission/permission process must make it clear that we may only use the photo after the customer has explicitly given permission. 19. Customer emails The system should support automatic emails for important stages, including: - Booking confirmation - Advance payment confirmation - Rental agreement - Approval/rejection of extended pickup/return request - Remaining payment + deposit request (21 days before rental) - Payment reminder if unpaid - Full payment confirmation - Optional practical reminder shortly before pickup - Deposit refund confirmation - Google Review/photo request 21 days after rental Email templates should be editable by us from WordPress where practical. 20. Mileage administration We want to register: - Mileage at pickup - Mileage at return - Kilometres driven This is mainly for our own administration and insurance monitoring. The system should automatically calculate the number of kilometres driven. 21. Search, filters and export In the administration we would like to: - Search reservations - Filter by date - Filter by car - Filter by booking status - Filter by payment status - View upcoming rentals - Export booking information to CSV/Excel 22. Google Calendar – optional If this can be implemented reliably and without significant recurring costs, we would like confirmed bookings to optionally synchronize with Google Calendar. WordPress/the booking system should remain the primary source of truth. Please mention in your proposal how you would implement this and whether there are additional costs. 23. Privacy, security and backups The website should include: - GDPR/AVG-conscious handling of personal information - Privacy policy integration - No online storage of unnecessary identity documents - Spam protection - Secure WordPress configuration - Automatic backups - Proper update strategy 24. No unnecessary recurring costs We prefer a solution without unnecessary monthly SaaS subscriptions. We understand that a reliable premium WordPress plugin or annual licence can sometimes be better than fragile custom code. Therefore we are NOT asking for everything to be custom-developed. We want the developer to propose the most reliable and maintainable solution. However, all paid plugins, licences, transaction fees and recurring costs must be clearly disclosed before development starts. 25. Easy management after delivery After the project is completed, we must NOT depend on the developer for normal day-to-day changes.
