You will be the single point of accountability for ensuring that all financial activity across Amazon, TikTok Shop, Shopify, and Walmart.com flows accurately and completely into QuickBooks Online (QBO). From daily reconciliations to automated syncs and product data alignment, you will design repeatable, scalable processes that keep high-volume transactional data clean, reconciled, and audit-ready, supporting the company’s rapid operational growth.
Key Responsibilities
Marketplace Reconciliations
• Own daily, weekly, and monthly reconciliations across all active sales channels: Amazon, TikTok Shop, Shopify, and Walmart.com
• Reconcile gross sales, refunds, marketplace fees, taxes collected, shipping charges, chargebacks, reserves, and net payouts against corresponding bank deposits
• Maintain and actively clear marketplace clearing accounts, investigating and resolving all discrepancies within defined SLA timelines
• Monitor settlement cycles and flag anomalies in payout timing, reserve holds, or fee structures
Transaction Posting & QBO Integration
• Ensure every order, refund, fee, tax, payout, shipping charge, discount, and expense from all sales channels is accurately and completely posted into QuickBooks Online
• Build and maintain detailed transaction mapping logic so marketplace data flows correctly into revenue, fee, tax, liability, and clearing accounts
• Monitor and validate all automated syncs (e.g., A2X, Synder, or similar connectors) to ensure completeness, accuracy, and proper period cutoff
• Post, review, and maintain journal entries related to revenue recognition, marketplace fees, reserves, accruals, and deferred revenue where applicable
Product Listing & System Synchronization
• Maintain end-to-end synchronization of product listings between e-commerce platforms and the accounting system to ensure financial data integrity
Ensure accurate alignment of:
– Product names, descriptions, and categorization
– Pricing tiers, promotional discount structures, and coupon logic
– Images, SKU mapping, and variant configurations
– Inventory quantities and unit-of-measure conversions (e.g., eaches to bundles, kits, and multi-packs)
• Ensure product master data supports accurate financial reporting, COGS calculations, and inventory valuation across all channels
Month-End Close, Controls & Process Improvement
• Support monthly close activities including balance sheet reconciliations, supporting schedules, and variance analysis
• Design, document, and continuously improve Standard Operating Procedures (SOPs) for all marketplace accounting workflows and system integrations
• Implement and maintain robust internal controls to safeguard data integrity and ensure audit readiness at all times
• Proactively identify opportunities to automate manual processes, reduce reconciliation effort, and eliminate bottlenecks as transaction volume scales
• Support external audits by providing detailed, well-organized documentation for revenue recognition, cash activity, and marketplace settlements
Qualifications & Requirements
• Based in the Philippines with reliable internet and a professional remote work setup
• Degree in Accounting, Finance, or a related field (CPA or CPA-board passer preferred)
• 3+ years of accounting experience, with demonstrated exposure to e-commerce or multi-channel retail environments
• Strong working knowledge of QuickBooks Online, including chart of accounts configuration, journal entries, bank reconciliations, and reporting
• Hands-on experience with marketplace integration tools (e.g., A2X, Synder, Link My Books, or similar)
• Familiarity with Amazon Seller Central, TikTok Shop, Shopify Admin, and Walmart Seller Center financial reporting
• Advanced proficiency in Excel/Google Sheets, including lookups, pivot tables, and data validation
• Excellent attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced, high-volume environment
• Clear written and verbal communication skills in English
