Workflow 2: Creating the Job Card (Website Form ➔ Make.com ➔ CRM)
When a customer goes to our website, fills out the form, and pays, it must trigger a Make.com scenario.

The system needs to use an OpenAI module to clean up and format the address text properly.

The clean data must automatically create a "Provisional" (tentative) job card inside our job software ([Insert CRM name]).

Workflow 3: Managing Property Access & Booking the Sub-Contractor
Step A (The Agent Text): The moment a new web booking comes in, Make.com must automatically text the real estate agent using Twilio to ask for property access (e.g., "Can we get access this Thursday at 10 AM?").

Step B (Reading the Agent's Reply): When the agent texts back, Make.com must send their reply to OpenAI (GPT-4o) to figure out what they said.

If they say YES or give a lockbox code: Move to Step C.

If they suggest a different time: Make.com updates the calendar slot and texts a confirmation back to the agent.

If their text is confusing or they say NO: Stop the automation and send a high-priority message to my WhatsApp so I can handle it.

Step C (The Sub-Contractor Text): Once access is confirmed, Make.com looks up our preferred sub-contractor based on the property’s postcode and texts them: "Hi [Name], an inspection is confirmed at [Address] for [Date/Time]. Lockbox code: [Code]. Are you available? Reply Y to accept or N to decline."

If the subbie replies "Y": The system marks the job as fully active/dispatched in our CRM, links it to their profile, and sends them a final confirmation.

If the subbie replies "N" (or doesn't reply in 30 minutes): The system automatically looks up our backup subbie for that area and texts them the exact same offer. If everyone says no, it alerts my WhatsApp.
