What this role actually is

Your main job is to make sure we stay on top of client communication and client success. That means checking in with every single lead so nobody slips through, making sure clients are onboarded properly, and making every client feel like they're having a once-in-a-lifetime experience where they're handheld through everything from start to finish.

This is not just a "do the tasks" role. You'll also be expected to come with your own recommendations on how we can optimize different tasks, onboardings, and SOPs. You spot something that can be done better, you bring it forward.

And it grows. This is the starting point, but there's real room to develop here. Over time you can take on more authority and eventually have team members working underneath you.

You don't need to know these already. They're easy to use and work like most tools. If you do know them, that's a plus point, so let us know what you've used.

GoHighLevel (GHL) is our CRM, and what we and our clients run everything through. WhatsApp is for client communication. Some clients don't use WhatsApp, so those conversations happen natively inside GHL. ClickUp is where tasks live, and we have an agent inside ClickUp you can use: just tell it the list, the task, and exactly what you expect.

Client communication. Stay on top of it, answer questions, and write down every task that comes up.

Task handling. If it's something you can do, go into ClickUp and assign it to yourself (you can use the ClickUp agent for this).
Onboarding calls. For the first while, you'll sit in on client onboarding calls, just to learn how we do it and the full process we go through.

Strategy launch calls. Separate from onboarding. This is where we walk clients through the platform and what they and we need to do. These vary case by case, so we need you absorbing as much as possible.

Lead communication in GHL. Respond to leads who aren't clients yet, and note down everything important. This keeps us always on top of what's been said.

These are the tasks for now. There will be other small tasks that change over time, but they'll all fall within these same areas.

Experienced probate paralegal To assist in drafting petitions, tracking cases, providing notice, updating plans, and doing all the many things required to successfully complete our clients

We're a multi-state services company using RingCentral for our business phone system, with call recording and RingSense (RingCentral's AI add-on) enabled. We want an automated pipeline that pulls our recorded calls and produces a per-employee, per-shift summary — so we can see, without listening to recordings, what each employee handled during their shift: the calls they received, what clients needed, the tasks/action items generated, how they responded, and any unresolved or flagged items.
RingSense already generates a summary, transcript, highlights, and action items for each individual call. Your job is to build the layer on top: pull that data via API, group it by employee and shift, and roll it up into one clean summary per employee per shift, delivered automatically on a schedule.
What you'll build
A scheduled job that, on a defined cadence (end of shift / end of day):

Pulls the call log filtered by extension and time window (RingCentral Call Log API)
Retrieves the RingSense AI insights for each call — summary, transcript, highlights, action items, sentiment (RingSense Insights API)
Groups calls by employee (extension) and shift
Sends each grouped set to an LLM API (Anthropic Claude preferred) to produce a single rolled-up shift summary per employee
Writes the output to our destination (Google Sheets to start; we'll confirm)

Technical requirements

RingCentral developer app: server-only, JWT auth, super-admin authorized (required for RingSense data)
Scopes/permissions: ReadCallLog and ReadCallRecording (ReadCallRecording is granted on request via RingCentral support — you'll guide us through that request)
Familiarity with RingCentral's RingSense Insights API endpoints
Rate-limit handling: throttling and exponential backoff on the recording/insights endpoints
LLM API integration for the summarization step
A scheduler/host for the recurring job (cloud function + cron, or an equivalent; Make.com acceptable if you prefer no-code orchestration)
Note: RingCentral truncates recordings at ~90 days / 100k files, so summaries must be stored persistently

We run a Make.com (Integromat) automation that writes and submits proposals to Upwork jobs automatically. When GigRadar detects a job, the scenario sends it to Anthropic Claude, which writes a tailored cover letter and bid, then submits the application to Upwork through the GigRadar Public API, and posts a copy to Slack.
The scenario runs and shows as successful, but proposals are not actually reaching Upwork. We have already done detailed diagnosis and traced the failure to a specific point. We need an experienced automation engineer to fix it, confirm proposals submit end to end, and make the scenario reliable at volume.

A complete Make.com scenario: GigRadar webhook, Anthropic Claude, Parse JSON, HTTP request to GigRadar, Slack
A working GigRadar account with the Public API add-on and an active API key
GigRadar scanners configured with team and freelancer selected

The problem we have already diagnosed

The scenario completes "green," but no application is created on GigRadar, so nothing submits to Upwork.
We traced it to the Parse JSON step failing with "Missing value of required parameter 'json'." The text output from the Claude module is arriving empty at the Parse JSON step, so the submission step never runs.
We confirmed through the GigRadar API (GET opportunity) that no application object exists for a recent test job.

So this is a fix and hardening job on an existing build, not a build from scratch.
Scope of work

Fix the data mapping so Claude's output reliably reaches the Parse JSON step and produces valid JSON.
Ensure the HTTP request to the GigRadar application endpoint runs and creates an application.
Confirm, using the GigRadar status check (GET opportunity, the "sent" and "proposalId" fields), that proposals are genuinely submitted to Upwork, not just created.
Handle the known edge cases: match the bid type to each job (fixed vs hourly) so submissions do not fail with bid type mismatch errors, and handle jobs that include screening questions (currently skipped and never submitted).
Add a status check so Slack reports whether each proposal was SENT (with the Upwork proposal ID) or FAILED (with the reason), instead of just "completed."
Harden error handling so a bad job is logged clearly rather than silently skipped.
Provide a short written summary of what was wrong and what you changed.
