Project Description: We need an experienced n8n developer to stabilize and extend a restaurant menu sync automation. The system keeps 179+ restaurant menus synchronized between URL host site (scraped via Apify) and our Bubble.io application database. Menu data is deeply nested: restaurants, categories, food items, option groups, and individual options. The workflows are already built (13 workflows, 117 Code nodes) and running on a self-hosted n8n instance with queue mode, 3 workers, and external task runners. The core problem is that the system cannot reliably process more than ~10 restaurants without task runner failures due to memory and concurrency issues. Your job is to make it work at 179+ restaurants and then build out additional features. Extensive design documentation, implementation plans, and a developer handover document are provided. You will not be starting from scratch. You'll be picking up a well-documented project that needs architectural fixes and completion. What Exists Today: • Self-hosted n8n (v2.8.3) on a 4 vCPU / 8 GB VPS with Docker, queue mode, Redis, PostgreSQL, 3 workers, and 3 external task runners • Apify-based URL-hosting scraper with webhook callback architecture • 13 n8n workflows processing the full menu hierarchy (restaurants, categories, food items, options, deletions) • Google Sheets as an intermediate cache layer between Apify and Bubble • Detailed plans for a fire-and-forget dispatcher redesign (ready to implement) • Plans for replacing What Needs to Happen – the following 3 Parts all make up this Project: Part 1: Architecture Stabilization 1. Implement controlled/sequential dispatch so restaurants process in small batches instead of all at once. The current simultaneous dispatch overwhelms worker memory. 2. Replace ~46 trivial Code nodes with native n8n Set/Filter nodes to reduce task runner overhead by 40-50%. Detailed replacement specs are provided. 3. Complete unfinished pipeline wiring: connect a placeholder category ID, convert soft deletes to hard deletes, fix broken data references in the delete path, switch Bubble from dev/test to live production. 4. Convert the restaurant processor from a synchronous sub-workflow call to a webhook-triggered fire-and-forget pattern. A complete implementation plan with node configurations is provided. 5. Create a post-sync cleanup workflow for sequential row deletions. 6. Validate the full Part 2: Remove Google Sheets Cache Layer • Modify sub-workflows to read/write directly to Bubble instead of through Google Sheets • Keep Sheets only for the restaurant URL list, restricted categories, and changelog • Run old and new systems in parallel during validation, then cut over Part 3: Extending Features • Low-touch restaurant onboarding (add by name + menu link only) • Automated image assignment for new restaurants and food items (via FreePik) • Business hours automation with configurable platform vs. restaurant hours and holiday support • Final system documentation Technology Stack: • n8n (self-hosted, queue mode with workers and external task runners) • Apify (food URL web scraping) • Bubble.io (application database and frontend) • Google Sheets (cache/reference layer, targeted for removal) • Docker, Redis, PostgreSQL What You Should Know: This is not a simple workflow automation project. It is a distributed data pipeline that happens to run on n8n. Each restaurant sync triggers ~338 Code node executions, each of which is a serialization round-trip to an external task runner. At 170+ restaurants, that's ~60,800 task runner round-trips per sync. The challenge is making this operate reliably under real concurrency and memory pressure. You should be comfortable with: • n8n queue mode, external runners, sub-workflows, and Code nodes • Bubble.io API (CRUD operations, list operators) • Diagnosing memory issues, understanding V8 garbage collection, and reasoning about concurrent execution • Docker and self-hosted infrastructure Experience scaling n8n workflows beyond hobby-level complexity is strongly preferred. Familiarity with Apify or web scraping platforms is a plus. You are not locked into the current architecture. The phased plan above reflects our best understanding of what needs to change, but if you determine that the current workflow structure, the choice of n8n itself, or any other aspect of the system is not suitable for the volume of data we're processing, you have full freedom to propose and implement a different approach.
