**Workflow 1 — Calendly Invite Email.** When a candidate's Status field changes to "Interview #1 Invited," send an email from careers@ via Outlook with our Calendly booking link, then update the "Calendly Invite Sent Date" field.

**Workflow 2 — Calendly Booking → Zite Status Update.** When a candidate books on Calendly (native n8n trigger), match the invitee email to a Zite candidate record and flip their Status to "Interview #1 Scheduled" with the date populated.

## The bigger picture — what's coming after this

If the first project ships clean, here's the roadmap of automation work we have lined up for the right partner. None of this is committed to you on day one — we're transparent about needing to see fit on the first project first — but this is real work, with real budgets, in the queue:

**1. Autonomous Quoting Agent (n8n + Claude API backbone).** Our current bottleneck is that all customer quotes are manual in QuickBooks Online. We're building an agent that reads structured floor plan legends (per-run, complete specs), auto-quotes gondola shelving via our standalone configurator, emails our non-gondola manufacturers for missing items, parses returned supplier PDFs with AI, applies margins, and ships completed quotes to the salesperson for review. Multi-week build with significant complexity.

**2. Shopify Dropship Order Routing (storefixtures.com — our ecommerce channel).** When a paid order comes in, n8n catches the Shopify webhook, splits the order line items by supplier (using product metafields), generates supplier-specific PO PDFs from a Google Docs template, emails each supplier their PO, and posts the corresponding vendor bill to QBO automatically.

**3. Supplier PDF Parsing Agent.** Many of our manufacturers send quote responses as PDFs with varying formats. We need an n8n agent that parses these (Claude API for the AI lift, n8n for the orchestration), normalizes the data, and writes it back to our quoting system. Recurring use case across hundreds of supplier interactions per year.

**4. ERP Migration Bridge (QuickBooks Online → Odoo Enterprise).** During our ERP transition, we need n8n workflows that preserve the full QBO project financial lifecycle (Estimate → Project → Invoice → PO → Bill → Expense) by syncing data between systems. Mission-critical — breaking the lifecycle costs us real money.

**5. Sales Tax Compliance Integration.** Currently using Kintsugi (Free tier) for US nexus monitoring tied to QBO. As we cross collection thresholds in additional US states, we'll need automated jurisdiction-aware tax handling on mixed-scope invoices (equipment + installation labor). Recurring compliance workflow.

**6. CRM Drip + Lead Routing (ActiveCampaign + Monday CRM).** Multi-channel email + WhatsApp drip sequences for nurturing leads through our ~2-month sales cycle. Integration with our existing Monday CRM and ActiveCampaign account.

**7. Internal Project Lifecycle Sync.** Our project management spans Monday CRM (sales pipeline), Asana (delivery), Time Doctor (PM time tracking), and QBO (financials). These need cleaner cross-tool automation — currently semi-manual.

The full Vanguard automation stack is documented internally. Devs who treat the first project as a one-and-done won't see any of this. Devs who deliver clean, well-commented, well-documented work will be the first call for everything above.
