Key Team Member for Energy Healing Marketplace
Looking for a list of pre-defined tasks to complete each day so that you just have to check them complete? This isn't the role for you.
I need a tech-savvy, independent team member with native English who can master our podcast production process, manage speaker relationships, and work with me to launch new initiatives, create SOPs, identify technology that can help us be more efficient, and monitor my inbox to stay on top of all new information—all while working autonomously and thinking strategically about our business.
**What Makes This Role Different**
You'll be a key collaborator alongside our Project Manager, Website Creator, and Customer Service team. This isn't about taking orders—it's about owning our podcast production cycle from speaker outreach for daily operations, the person who knows off the top of her/his head where we are with ongoing projects.
Example of what you'll own: When I say [Speaker Name] just agreed to be on the show in 3 months, you'l know exactly what to do, what information we need, their deadlines, and who to assign each task to so that we are ready 10 days before launch date. Note all the tasks are in ClickUp, but you'll have big picture view of all the pieces and what to start first.
**About Us**
We're a 13-year-old online energy healing marketplace using WooCommerce, producing ~30 podcasts annually with accompanying digital courses. Our work creates meaningful impact in people's lives (check our reviews), and we're looking for someone who appreciates the transformative power of energy healing.
**Key Responsibilities**
Podcast Production & Management
- Master our complete podcast-to-product cycle (fully documented in ClickUp)
- Identify and outreach to potential speakers using our systems and templates
- Manage speaker relationships, follow-ups, and deadline enforcement
- Coordinate all production elements and launch logistics
**Executive Support & Operations**
- Monitor and manage my inbox, drafting responses where appropriate with voice/tone matching
- Handle customer service inquiries and escalations in zendesk (we also have a person who handles tickets off hours and weekends0
- Serve as point person during my travel/vacation
- WooCommerce product management and website page edits (we have someone who builds our pages this would just be small edits)
- Email sequence setup and management in our email marketing provider
**Strategic Growth (Growth Opportunities)**
- Propose improvements to increase sales or reduce costs
- Identify opportunities in underutilized areas
- Contribute strategic thinking to business development
**Technology**
- Identify where additional technology would be cost effective

**Working Arrangement**
Flexible but Consistent: Currently business hours are Los Angeles time through end of 2025, then I will be traveling (India Jan-Mar, Europe ongoing after that), so we need someone who can complete training with Los Angeles time and then move to India/Europe hours ongoing. Expect 2-3 hours morning, 1-2 hours afternoon. Occasionally when speakers miss deadlines, we have some weekend or off hours work, but we keep that to a bare minimum. Regular work will be during weekdays.
Communication Style: Primary communication via chat with initials TG (am not allowed to write it out name in job description even though it's just the name!). You'll work independently with clear outcome expectations, not micromanagement. We have a process with emojis for managing my instructions and questions via chat to make sure nothing falls through the cracks.
Long-term Partnership: This is about building a sustainable working relationship where you grow with the business, not just completing tasks for a paycheck.

**Next Steps**

1) Reading Comprehension and Alignment with our offerings - review one of our existing sales pages and complete a form showing comprehension
2) Clickup information gathering to demonstrate familiarity with Clickup (you will be given view-only access to our clickup and find existing information)
3) Setting up one of our standard emails according to our SOP to show you can follow written instructions, have familiarity with setting up emails/formatting, and gather required information from various sources.
4) Researching a tech solution for a problem.
NOTE: The above next steps will be the same for everyone and are skills tests only.

However I was never given any, so you can imagine my surprise when I was abruptly informed I was being replaced, and my services were no longer required,
I am very aware of the dynamic upon which freelance work exists. Yes, contracts end and begin all the time. Yet when you provide consistent, quality work for a client for an extended amount of time, you inevitably develop a working relationship with them built on mutual trust and understanding. So when you are made aware, completely out of the blue, that they are terminating your contract, with no notice and little explanation, it can indeed be quite disheartening. I certainly would provide any client of mine with advance respectful notice of my impending departure, and I only expect the same in return, no more. (Expect of course, if it was a case of an issue with repeated absence or low quality work, which this was not.)
However, everything happens for a reason, and I am very grateful to have had the opportunity to work with the client. I have certainly learned quite a bit throughout my time with her. The most important of which being, in my opinion, a renewed perception of the right and the wrong way to treat people.

I am no sure if it was a English as a second language issue or not reading what I sent him. Several times he did tasks incorrectly, even though the instructions were very clear - we have very specific procedures. I would show him where the procedure said to do something different than what he did and he would fix it. It looked to me he would read the first bit and then assume what I wanted him to do without reading the rest of the details. I could be wrong, maybe it was an English problem. But one time it created a disaster. It was terrible timing, when he worked for me Elementor's role permissions didn't work, so I had to give him access to all Elementor pages, not just the few he created. I asked him to fix the slug on his pages and he changed them for ALL previous pages going back 4 years. Now all our historical slugs didn't work - he runs websites himself so I can't imagine why he would think I would suddenly want him to go change all the previous slugs - once they are published you don't want to change them! It was a nightmare. Elementor fixed their role permission issue a few days later, so technically he should not have had access. He had never worked on any other pages other than his own 3 before, so if he was unclear, he should have asked if I now wanted him to edit all the other historical pages. Because of the previous issues with comprehension, I had to end the contract. I do think once he had made several of our pages he would have been okay working just creating Elementor pages with very limited access, but I couldn't take any chances.

1) Phase 1 – One-time Intro & Outro Production (Fixed Price Required):
What already exists:
- Final voice-over recording for the intro

What I need you to produce:
- One professional audio intro
- One professional audio outro
- One video intro

We are looking for an experienced video editor to create a polished, dialogue-driven acting reel for a youth actor. This reel will be submitted to management agents, so the focus should be on performance, emotional clarity, natural pacing, and clean audio rather than flashy effects or social-media-style editing.
The final reel should be approximately 45 seconds and cut from 2–4 scenes. Facial performance, vocal delivery, and reactions are especially important. Editing should feel invisible and professional, with minimal transitions and no heavy music or graphics.

The scope of work shifted frequently, and the position felt unstructured, with responsibilities changing week to week. As a result, it was difficult to develop a consistent workflow or fully understand expectations.
Training materials were not always readily available, and responses from team members varied significantly. Some employees were very prompt and helpful, while others could take up to 24 hours to respond, which slowed progress and limited the ability to complete tasks efficiently. Much of the training relied on Loom videos, even for new or complex tasks that would have benefited from direct conversations or real-time guidance.
Working hours fluctuated considerably—from 20 hours to nearly 40 hours, then back down—making it challenging to maintain predictable scheduling. Although the company demonstrates strong potential and appears to be undergoing growth and internal restructuring, clearer direction and more consistent support would greatly enhance the experience for contractors in similar roles.
I want to highlight that Rachel was always kind, patient, and genuinely attempted to assist despite her own workload. Her professionalism stood out and contributed positively to the experience. With additional organizational structure and improved training processes, this could be a strong environment for future hires.

Even though Rachel used Asana as the CRM, tasks would often just say things like “check Slack” without any context or instructions on what exactly to do there. To understand what Rachel wanted, I often had to request calls but she was not always available, and when we did speak, she was often impatient if I asked for clarification.
Rachel’s work environment was discouraging. Many of her VAs, past and present, have raised similar concerns, as Rachel frequently hires and lets people go. I was also given tasks outside of what we originally agreed on, and at one point Rachel wanted to lower my rate. In the end, Rachel removed my access without notice and ended the contract.
Although I consistently delivered work, communicated, and supported the team, I did not feel valued. Based on my experience, I cannot recommend working with Rachel.

Upwork should post freelancer’s WRITTEN feedback and make it visible to us before we submit a proposal so we can have the idea of how this client works with freelancers. If I’m able to see her past WRITTEN feedback, I would run as fast as I can from this woman.
True to be told, every past freelancer’s negative review to Rachel is absolutely accurate. No proper onboarding, this Rachel will throw task on you like you’ve been with her since day 1. Doesn’t even introduce you to the team so I end up having no idea what are the other team members responsibilities and who to ask for other information since you can’t talk to her. It’s like joining a guessing game.
This rachel dump task on your board with no instructions and description on, only adding the name of the task like she would literally put into Asana a task called “Email Ms.(name of her client)” with no context on what the email is all about. It’s funny how she micromanage her VA’s but isn’t available when you ask for clarifications regarding a certain task.
She would check on everyone what they have done and how much time you spent to complete a certain task, like checking on you every 30 mins. Asking for an update every now and then. She tends to do that because she has no system, she’s all over the place and she knows it to her self that she’s not delegating the tasks correctly so we all get stuck and wait until she put additional information on a certain task which she isn’t likely to do. You can’t even talk to her during working hours. Once you book a call with her to discuss tasks information, she will cancel it last minute and let the day pass without clarifying anything. You’ve waited 8-long hours to speak with her and she will ask you to meet after your working hours which I find ridiculous and unprofessional.
She is always hiring or posting job everyday because no one can stay working with her and that is a very red flag. Upwork should look into it and set regulations not just for freelancers but for unprofessional clients who penetrates this platform. She will offboard a team member with no reason at all. She wants to lower our rate that’s why she hire a new freelancer that is offering a lower hourly rate to replace us. Stay away from this woman. She’s a waste of time, energy, and brain cells. Not even worth to talk to.

I had no one to ask about the tasks expected of me, which left me confused and uncertain about how to proceed.
I had initially communicated to Rachel that, despite reading some negative reviews from past freelancers on Upwork, I was still willing to give it a try and see if we could collaborate effectively. I came in with an open mind and a positive attitude.
However, the main difficulty arose when training did begin — tasks started pouring in rapidly, often with tight deadlines and little to no explanation. Most of the time, I had to request a call with Rachel to get clarification, but scheduling a call was difficult. I would be asked how many minutes I needed, and when I sought clarification during our limited calls, she would express frustration, saying she shouldn’t have to repeat herself — even when I was simply trying to ensure accuracy.
She typically responds in the afternoon and often doesn't answer questions directly, instead assigning more tasks. Although she claims not to micromanage, I was expected to report progress every 30 minutes, even though these updates were rarely reviewed. I submitted tasks on time, yet she would still ask whether they were completed, indicating she hadn’t checked. Reports — both daily and weekly — were required but seldom acknowledged.
There were also instances where I was asked to work beyond the agreed hours, and while I did so in good faith, payment for overtime was sometimes delayed. Tasks from other team members, especially her executives, were often redirected to me, making it difficult to manage my own workload. Despite my consistent efforts, I was made to feel inadequate, which led me to question my own capabilities.
On a positive note, Rachel occasionally acknowledged my work. I also appreciated working with her COO, Amandalyn, who was professional and kind. However, Rachel's tone in our interactions was often harsh and demanding. The environment made me feel disheartened and, at times, led me to tears.
In the end, I realized that I could not continue in a work relationship where I felt undervalued and disrespected. I do not see myself thriving in a situation where I am treated this way long-term.

While I’m grateful for the opportunity to work with her, it turned out to be one of the most challenging engagements I’ve had on Upwork.
From the very beginning, the onboarding process was unclear and unorganized. Despite informing Rachel to let me know when everything was ready and the exact start date, she never did. Instead, I was required to begin work immediately without proper onboarding, orientation, or access to necessary tools and accounts. Although I felt hesitant and confused, I still did my best to perform my tasks under the circumstances.
The main difficulty I encountered was the lack of clear instructions and organization. Tasks were often assigned with tight deadlines, and new assignments would be added before the previous ones were completed, creating a high-pressure and disorganized workflow. Expectations for organizing files and completing other time-consuming tasks were often unrealistic given the limited time provided.
Rachel’s communication style added to these challenges. During my working hours with her, we would often be on a call to agree on the tasks I needed to complete. However, she would later initiate another call to discuss progress, but instead of reviewing the work I had completed, she would assign new tasks, leaving the previous ones unchecked. Additionally, she frequently reached out outside of agreed working hours, which I couldn’t always accommodate due to prior commitments, and regularly shifted task priorities. This inconsistency made it difficult to establish a productive workflow. While I am fully capable of working independently with clear instructions, the constant changes and lack of structure in task management tools like Asana made the collaboration especially challenging.
On a positive note, Rachel appreciated the content calendar and reels I created, which are areas where I excel and truly enjoy working. However, despite these moments of recognition, the overall experience left me feeling unsupported and undervalued, which ultimately led to my decision to end the collaboration.
I believe that with improved task management, clearer communication, and realistic expectations, Rachel could build stronger and more positive working relationships in the future.

We are seeking a skilled podcast audio editor to enhance the quality of our personal podcast episodes. The ideal candidate will be directly responsible for editing, mixing, and mastering audio to create a polished final product.
The use of AI must be discussed before use. Generally, use of AI is discouraged as it makes the sound robotic and not correctly synchronized with how I really talk or sound. I could use AI tools myself instead of hiring the work out is another reason it is discouraged.
Experience in podcast production is essential, along with a keen ear for detail and a creative approach to sound design.
There may be multiple places in each podcast recording that there are obvious errors in speaking. These errors need to be deleted and merged with the correct narrative.
Also, add music after the introduction and at the end of the podcast. The lag or time between the end of the speach and music should be very short.

We are looking for a reliable podcast producer to help us produce three AI-generated podcasts per week for our clients. You will use our proprietary software + Audacity, the Aloudable Workstation, to generate transcripts and produce audio with AI voices.
The core of this role is quality control: listening through each episode, checking for hallucinations, mispronunciations and errors, and ensuring every episode meets our standards before delivery. You will then perform final editing and assembly in Audacity.
You do not need advanced audio editing skills, but some experience with Audacity is essential. This is an ongoing role with consistent weekly deliverables and a fixed weekly rate.
Basic training on our software will be provided.
Deliverables
Each week you will produce three podcast episodes. For each episode, you will generate the transcript using the Aloudable Workstation, produce the audio using AI voice generation in our workstation, perform quality control by listening through and checking for hallucinations and errors, complete final editing and assembly in Audacity, and deliver the completed episode by the deadline.
Episodes must be delivered by 1pm UK time on Monday, 1pm UK time on Wednesday, and 2pm UK time on Friday.
Rate: up to $150 per week for all three episodes
