I need support setting up a full Virtual Data Room (VDR) and Information management system (IMS) process on MS SharePoint. This will be a full ‘from zero’ build, with notifications, tracking & monitoring, full automations and deeper and more enhanced features as time goes on. The core objectives are:
OBJECTIVES Data Library. Full ability to store, manage, process and track private data as part of an internal Library. Data categories, meta-data, sorting, filtering, notifications, automations etc. Ability to establish a dashboard of the data ‘as it is’ - document categories, types, jurisdictions etc. Ability to track and automate document updates, approvals etc. Requests Information Management System (IMS). Full ability to receive data requests separately to this working area (likely on a new MS ShP site). Inbound requests that will harness the Data Library (still segregated) to enable the completion of those requests. Inclusive of: Tracking and monitoring of the requests; from where/who, when, request requirements, request processing and management tracking. Later - metrics of the number of requests, time to fulfillment etc. Training. We will work together to build this on a development ShP test site. Full access given, with synthetic data provides as needed. I need 1:1 guidance on the phased build of this VRD and IMS. Advisory. You will need to make recommendations on functions, features and actions we could implement to improve Part 1 and 2 above, enhancing the VDR functionality and overall capability of the IMS. SharePoint Pages. We will develop the whole SharePoint area from complete scratch (multiple fresh sites), so we will also build this out on MS ShP Pages, will appropriate integrations and interoperability also. 1. Document Storage and Organization: Help me set up a SharePoint Document Library to store, sort and categorise files. Show me how to organize these files using labels and categories (metadata) so I can find them easily. Set up automatic alerts for documents (e.g., reminders) using Power Automate. Help me understand and set up permissions so only the right people can see certain documents. 2. Request Tracking System: Build a way to track new requests using SharePoint Lists. This will help manage tasks. Create simple automated workflows using Power Automate. These will help manage requests from start to finish, including approvals and sending notifications. Show me how to keep track of each step in a request. 3. Building Together & Advice: Work with me to build these parts in our SharePoint test area. Give me advice on the best ways to use SharePoint and other Microsoft 365 tools for my needs. Help me learn how to use and manage the system myself. Skills I'm Looking For SharePoint Online: You should know how to set up sites, document libraries, lists, and manage permissions. Power Automate: You should be able to create basic and medium-level automated workflows. Familiarity with other Microsoft 365 features is a plus (like Power Apps, Power Pages, and Power BI if possible). CONSIDERATIONS: This post will run until 50 people have applied, then I will turn it off and sift through manually. This will start at a low-cost zone ($10-13p/h), while we test, but can scale as it becomes more complicated and possibly longer-term - to support deeper training and more complex use-cases. This would ideally suite someone who has the qualifications and experience, but is looking for sustainable work. The ratio of work should be 1/4 of your time is spent building or testing or recommending. But the remaining 3/4 time will be spent teaching and guiding, so we are building together. So if you spend 30 mins on development, we would then need to spend 1.5 hours working together to implement. Over time, I would try to bring my time down, while we experiment and teach more complicated concepts, features and functions. If you have solid knowledge of Google Workspace that is a plus - as this is my primary working area. PLEASE PROVIDE: Very basic summary of how you would approach Objectives 1, 2, 4 and 5 above. (Short). Approximate price range per hour. Lower is favorable, but will likely manage in packages of 10 hours at a time for transparency and consistency. Title: Wings of a Monarch's Blessing 1. My mother with long blonde hair and beautiful wedding dress - I'll send you samples. Along with some ethereal monarch butterflies, would like to include different types of roses throughout her dress. We had rose gardens everywhere, even named one after our Grandmother. My parents are big landscapers. So if we could make her dress look like the butterfly one but with different roses with some Monarch butterflies specifically that would be great. Monarchs were everywhere on our farm in Canada. 2. This time my Father sitting in the tree with the jaguar as the protector. He is bald now but I might send a dark hair picture instead. 3. For animals, need to add a piglet, (grew up on a pig farm), a Dalmation dog (as we used to breed them), and you can keep the ocean the same only with 2 siblings on one side holding hands, and the other two siblings on the other. On the left side it would be me (the oldest now 50, Tracy now 49), and on the other side it would be Nancy now 46, and Chris (the only boy now 42.). No need to put the ages anywhere just some around that age. I have the darkest hair, the two girls have brownish-dirty blonde, and my brother is now bald too. :-). 4. You can still be sending us all off in a boat like the other two boys, but with the 4 of us in the boat. 5. Keep the turtle in the picture with wings as it symbolizes always carrying home with you. 6. This is for my mother's 70th birthday. I definitely want the older picture with long grey hair of her in it watching over the ocean on the left side. 7. Please put a Canada and Dutch flag into the water subtly, and also the words like the other one "Wings of a Mother's Blessing." 8. Have the 4 of us playing in the background on the sand - 3. girls and 1 boy with blonde hair. The two girls with blonde hair, and me with dark hair. Their hair got darker and balder as they got older, lol. 9. You can use the same color scheme as the other one you just did to make it as fast and easy as possible. 10. Her and my Dad grew an incredible Garden which could be in the background with them tending to it, either instead of the sand or to the right of the sand where us siblings are playing on the left. Or to the right and keep the kids on the sand. We had everything - sweet corn, purple cauliflower, green beans, carrots, cucumbers, peas, tomatoes, strawberries, blackberry bushes, - 1/2 an acre! It was huge and a lot of work as a kid! 11. We also had all 4 seasons so it would be cool to have one part of the painting of us toboganing down the hill on our farm, so just a hill in the distance. with beautiful snowflakes and iceicles hanging off evergreen trees. 12. My father was a farmer first and foremost but he was also a full time 7th and 8th grade teacher. 13. Any symbols that represent 70 yrs old I'd like to add a few as well, they can be hidden in the garden or in the water, and perhaps the water is rolling green hills with cows and horses grazing which would depict the setting of our childhood more than the ocean as we lived in Ontario, Canada. 14. But all of us kids went off to live in other places. Me in California, Tracy is in Ottawa (a yogi), Nancy is a teacher and her husband is a hunter in Virginia, (they met in Dubai and Abu Dabi, in the UAE, and my brother who is in Canada as a plumber. 15. Think beautiful boxes with 3-5 varieties of fresh mushrooms (like shiitake, lion's mane, chanterelles, and seasonal wild varieties) along with care instructions and recipes. People loved them! Now we want to bring this program back with a smarter operational approach, and we need someone awesome to help make it happen. What We Need Help With We're currently talking to a vendor, but we need help researching and identifying the right fulfillment partners. Ideally, the vendor will handle fulfillment while we manage the e-commerce website, product listings, and all the backend operations.
