We are hiring a senior part-time operations specialist to work alongside two current operations team members:
1. A deputy operations manager focused on contractor milestones, workforce coordination, access follow-through, project status, and cross-functional execution.
2. An operations implementation and document-control coordinator focused on SOP publication, version control, implementation tracking, source reconciliation, and closeout evidence.
We need a third person who can provide dependable response coverage, take assigned work from intake through closeout, and keep projects moving when one of the other coordinators is unavailable or overloaded.
This is not a generic inbox-management or data-entry position. You must be able to read a complicated Gmail thread, identify the controlling source, distinguish an approval from a request for review, create a decision-ready summary, assign the correct next actions, update the appropriate tracker, follow up with owners, and preserve the evidence needed to close the work properly.
Our core systems include Gmail, Google Drive, Google Docs, Google Sheets, Monday.com, Shopify Plus, Upwork, Gorgias, and other ecommerce and operational tools.
You will not independently approve payments, contractor rates, company policy, customer concessions, access changes, or controlled SOPs. Your job is to prepare accurate work, execute what has been explicitly approved, and escalate unresolved decisions to the correct owner.
WHAT YOU WILL WORK ON
- Review assigned operational Gmail threads at the beginning and end of each shift.
- Acknowledge urgent assigned items within one business hour during your scheduled working hours.
- Identify the decision needed, current owner, next action, deadline, blocker, source link, and approval status.
- Preserve original Gmail threads and source-document links rather than creating disconnected summaries.
- Prepare concise executive status reports that separate completed work, pending work, blockers, risks, and decisions needed.
- Follow up with employees, contractors, vendors, and project owners until an item is completed or formally placed on hold.
- Prepare and administer contractor milestones only after the scope, amount, and approval are documented.
- Reconcile contractor requests against approved scope, prior milestones, submitted evidence, and outstanding deliverables.
- Coordinate approved onboarding, read-only access, observer access, training, and project-closeout actions.
- Collect final deliverables, recordings, reports, screenshots, and access-removal evidence when projects close.
- Maintain implementation trackers with owners, deadlines, dependencies, approval gates, and evidence links.
- Review Google Drive for the current controlled SOP before relying on an older attachment, exported copy, or prior email.
- Build SOP and document crosswalks showing the current version, prior version, status, canonical link, related documents, and required action.
- Prepare draft SOPs, job aids, checklists, implementation workbooks, validation packets, and rollout messages from source evidence.
- Update approved filenames, metadata, indexes, directories, cross-references, and supersession records when specifically authorized.
- Flag conflicting versions, missing approvals, stale owners, broken links, incomplete evidence, and unsupported claims.
- Coordinate with the appropriate department owner without taking ownership away from that department.
- Deliver an end-of-day summary and a weekly operations rollup.
WHAT SUCCESS LOOKS LIKE IN THE FIRST 30 DAYS
- Assigned urgent messages are acknowledged promptly during the agreed shift.
- Normal assigned work is routed or updated the same business day.
- Every tracked item has a current owner, next action, deadline, blocker, evidence link, and approval status.
- No contractor milestone, payment, access change, policy change, or controlled document is released without the required authority.
- No duplicate active SOP, competing tracker, or guessed Monday.com routing lane is created.
- Status reports are concise, accurate, source-linked, and ready for leadership decisions.
- Eaunic and Elizabeth spend less time chasing follow-ups, checking versions, and reconstructing project history.
- Work continues moving when either existing coordinator is unavailable.
REQUIRED EXPERIENCE
- At least three years of substantive experience in operations coordination, project coordination, PMO support, implementation management, document control, or a closely related role.
- Demonstrated experience managing complicated work across email, task-management systems, shared documents, and multiple stakeholders.
- Advanced practical experience with Gmail and Google Workspace, especially Google Drive, Docs, and Sheets.
- Strong experience with Monday.com, ClickUp, Asana, Jira, or another structured project-management system.
- Experience creating or maintaining SOPs, process maps, checklists, implementation plans, validation packets, or controlled-document libraries.

1. Homepage hero / mobile performance
- Optimise homepage loading speed, particularly on mobile.
- Compress/resize oversized hero and product imagery where appropriate without noticeably reducing image quality.
- The homepage previously used a three-slide slideshow. I have now hidden the additional slides and am using one image only. Please check whether the slideshow module is still loading unnecessary assets/scripts and, if so, advise whether it should be replaced with a simple single-image banner.
- I would ideally like the ability to upload separate desktop and mobile hero imagery so I can control the crop properly.
2. Homepage heading structure
- Ensure the homepage contains only one H1.
- The large artist statement I have added to the homepage should be the H1.
- Check that the old/hidden slideshow headings are no longer outputting H1 tags.
3. Full Gallery filters
- The Full Gallery already has an existing filter drawer showing Availability and Price.
- I’d like to extend this using my existing product tags/categorisation where possible.
- Initial filters are likely to be:

The tests should include:

- freight and installation questions
- warranty and lead-time questions
- pricing or discount requests requiring Sales escalation
- out-of-stock and discontinued-product checks
- high-value products that may not be safe for direct checkout
Record the exact prompt, result, product URL, displayed price, availability, lead time, checkout/referral path, screenshot, and pass/fail result.
6. Direct-checkout and customer-journey recommendation
Evaluate whether direct checkout should remain active for each available AI channel and product class.
Provide a current-state, proposed-state, risk, and rollback recommendation before any direct-checkout setting is changed.
7. Reporting, SOP, and team training
